Job Description
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
Manage front desk responsibilities, including greeting visitors and directing them appropriately
Operate multi-line phone systems with professionalism, ensuring excellent phone etiquette and prompt responses
Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
Maintain organized filing systems, both physical and digital, to ensure easy retrieval of documents
Support office management activities such as calendar management, scheduling appointments, and coordinating meetings
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
Provide exceptional customer support by addressing inquiries via phone or email promptly and courteously
Perform clerical duties such as proofreading documents, managing correspondence, and preparing reports
Support personal assistant functions as needed, including travel arrangements and task prioritization
Qualifications
Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Excellent typing speed and data entry accuracy
Familiarity with QuickBooks or other bookkeeping software is a plus
Bilingual abilities are highly desirable to serve diverse clients and team members effectively
Strong phone etiquette skills with experience managing multi-line phone systems and front desk operations
Previous experience in customer service or medical/dental reception is advantageous
Demonstrated ability to multitask efficiently while maintaining attention to detail
Exceptional organizational skills with the ability to prioritize tasks effectively
Personal assistant or medical receptionist experience is beneficial but not required
